Essential Helium Tips for Wedding Planners

08-01-2025

Creating stunning helium balloon displays can transform any wedding venue—indoors or out—into a magical, memorable space. From archways and photo backdrops to gifts for younger guests, balloons add impact and charm.

Using helium safely, however, requires planning and compliance with relevant safety rules. Here’s a practical guide for wedding planners.

What are the risks of using helium at your event?

Helium cylinders are highly pressurised. If dropped or damaged, they can cause injury or property damage. In confined or poorly ventilated spaces, a helium leak can displace oxygen and create a suffocation hazard. Inhaling helium—often treated as a party trick—is dangerous and can lead to dizziness, fainting, or worse. Vigilance and good practice are essential.

Helium balloon safety tips

Storing helium cylinders safely

Store cylinders upright in a cool, well-ventilated area, away from direct sunlight, heat sources, and busy walkways. For outdoor venues, protect them from rain and wind with sturdy covers or a dedicated, secure storage unit. Always move cylinders with a suitable trolley and keep them secured—unattended, unsecured cylinders can tip easily. Remember: helium is a compressed gas, so stability is critical.

Inflating balloons safely

Always use a regulator or nozzle designed for helium to control gas flow and prevent over-inflation. Inflate in a well-ventilated space to avoid helium build-up. For latex balloons, stick to the recommended size to reduce the risk of bursting. If you’re building arches or clusters, prepare them on site to avoid transporting inflated balloons and to ensure a perfect finish. Make sure you have enough helium for the design.

As a guide, a large disposable helium cylinder from Adams Gas can inflate up to 40 balloons; a medium cylinder inflates around 25; and a small cylinder about 10—ideal for compact clusters. A large balloon arch typically uses 150–200 balloons (depending on size and density), so you’ll need several large cylinders or a 9.4-litre refillable helium cylinder. Preparing on site saves space during transport and helps deliver a neatly finished display.

Planning for outdoor events

Weather affects balloon performance. Heat expands helium (increasing the chance of bursts), while cold reduces lift. To keep displays looking their best:

  • Use suitable weights to anchor balloons securely.

  • Choose high-quality balloons for outdoor use (thicker latex or durable foil).

  • Avoid inflating too early to maintain buoyancy and appearance.

Ensuring compliance with venue and local requirements

Every venue will have its own safety procedures. Be ready to demonstrate safe storage, secure anchoring, and appropriate balloon handling. Follow local environmental guidelines—such as not releasing balloons into the atmosphere—and confirm in advance that helium and balloon installations are permitted in the space.

Choosing a reputable helium supplier

The right supplier helps your displays look better for longer—and keeps your team safe. Choose a reputable provider that supplies certified, well-maintained cylinders and clear instructions for safe use, reducing the risk of leaks or accidents.
